Terms and Conditions (WAG)

Attendance

Gymnasts are expected to keep up with an 85% attendance rate for each term and no more than 3 same day absences in a term. Any gymnast dropping below this will prompt a conversation with parents and gymnasts to discuss what the club can do to help ensure the gymnast is able to attend training sessions. This high percentage is due to the nature of a competitive team meaning gymnasts missing too many sessions may not have the skills to be eligible to compete during their competitive season. This may also delay the progression through the levels and hinder the gymnast’s progression and development of skills. Gymnasts are expected to attend all competitions entered by the club. Gymnasts missing more than 2 competitions due to personal reasons may result in a meeting regarding the level of commitment the gymnast is able to provide within the competitive levels.

Gymnasts are required to attend gymnastics in the week prior to a competition, absence for any reason for the week of a competition will result in gymnast being withdrawn for safety reasons. No Refund will be given without a medical certificate (with a medical certificate, refunds will be given minus 25% administration charge)

Cancellation & Withdrawal

Gymnasts wishing to cancel their membership or withdraw from the WAG teams must do so in writing to the WAG Manager and give 1 months’ notice. Notice will start from when the official email is received.

If classes are cancelled by Jimboomba Gymnastics Club, the club may:

  • Arrange make up classes within the next scheduled holidays.
  • Arrange make up hours throughout the term.
  • Offer a refund to cancelled classes

Classes cancelled due to Natural Disasters (e.g. severe weather events, power outages, flooding, severe heat, etc.) will still be charged for the first 3 missed sessions, anything after this will be credited to the account. This is due to fair work requiring us to pay for all coaches during cancelled sessions and the clubs current financial status.

Withdrawals by Jimboomba Gymnastics Club

If on the rare occasion the club decides that a gymnast will need to withdraw from any upcoming competitions or events due to safety/performance concerns, the club will refund the cost of the entry fee, provided that gymnasts have kept attendance above 90% for the competitive year and sustained a good work ethic to their training.

Severe Heat (Beat the Heat Policy)

Classes may be cancelled/postponed or rescheduled when temperatures reach 38 °C.

Classes will move to increased water breaks and activities limited when the temperature within the gym reaches 36 °C.

During periods of extreme humidity our management team may make the decision to action the heat policy prior to temperatures being reached.

Make Up Classes

Due to the nature of the WAG competitive program gymnasts are unable to have make up lessons. This is due to the expectation that gymnasts attend all classes and classes being based on age and level appropriate lesson plans.

Class Payment/Direct Debits

Fees will be invoiced and billed on a monthly basis. Fees will be debited from your chosen payment source (bank account or credit card) on the first of every month for the current month’s fees. However, if you don’t want your account to be debited, we also offer the option to pay in advance of the direct debit date. Please note that accounts not in full credit will be debited on the first of each month with any outstanding balances listed on the account.

If your direct debit is unsuccessful, you will be charged a direct debit rejection fee of $10, if payment remains outstanding prior to the next schedules direct debit then both sets of fees will be debited at the next billing date. 2 months of outstanding fees will result in suspension of membership until outstanding payments have been made or an approved payment plan in place with our accounting team.

Gymnasts will not be entered into any competitions or events whilst there are outstanding fees on their account. Full payment or a payment plan must be put in place before a gymnast is entered.

Competition Entries & Refunds

Competition entries will be made via the parent’s portal. All correspondence will be via the JGC Facebook page and will be uploaded before a competition with all the information and closing dates. Gymnast’s competition fees will automatically be added to your account as it is the expectation that gymnasts will attend competitions. Gymnast will be required to pay by the closing date on the portal, those who miss this date or pay within the gym will be subject to a $10 admin charge. Gymnasts who have outstanding fees including term & competition fees will not be entered. If your gymnast still wishes to enter, a late fee will be charged by the organising club (this will be determined by the event organiser and not JGC) and an additional administration fee of $25 will be charged by JGC. Any Gymnasts unable to attend a competition will only be supplied a refund with a medical certificate minus 25% admin fee charged from host clubs. This medical certificate must be submitted prior or within 7 days of the competition to be eligible for a refund. JGC will only refund fees once they have been received from the host club, this can take a few weeks so please be patient.

Injury & Special Circumstances

If a Gymnast is absent due to injury, please contact the WAG Manager with a current medical certificate. Depending on the severity, your gymnast will be welcomed and encouraged to still attend training. Parents will need to speak to the WAG Manager to assess what training and hours will still be available. Gymnasts can attend training on reduced training hours with an injury and rehabilitation program. We require this to allow gymnasts to keep up with strength, training, and fitness. We can assist in getting you the correct medical certificate to allow gymnasts to return to partial training and recommend physiotherapists to get your gymnast back to full training as quick as possible. If no training is possible, we will credit your account with the cost of the missed sessions, but a consultation with the WAG Manager will need to be done to assess eligibility. There may be occasions where you may be asked to produce a medical certificate to confirm fitness for returning to training.

Gymnasts will not be entered into any competitions until medical clearance has been received from a medical practitioner in writing.

Terms and Conditions (REC)

Term Dates

All of our classes run as per the Queensland School term dates, these will vary each year and term. 

Term Fees & Annual Registration

Our classes are billed termly, payment can be made via our online portal within the office or over the phone. All Classes are billed termly prior to term starting. Gymnasts who have not made payment 7 days past the due date and failed to contact the office will be removed from classes and their space offered to the next on the waiting list. A late payment fee of $25.00 will be applied to all late payments. Invoices can often go to junk and spam folders in the beginning, we encourage all members to download our portal to enure they don’t miss any payment dates. Any gymnasts wishing to attend classes casually will have to pay prior to starting class and will be subject to a $3 casual class levy on the normal class prices.

Annual Registration is required by Gymnastics Queensland and Gymnastics Australia for all members to participate in gymnastics. Jimboomba Gymnastics Club charges a yearly fee when registering a gymnast of $120 this will last until December 31st in the current year. Registration fee is required when enrolling gymnasts for the following years classes in term 4.

Trials

We offer all new members 1 free trial class within their recommended class. To secure their place the registration fee will be required within 24 hours of the class.

Withdrawal Notice

If a gymnast no longer wishes to continue with their classes a notice period of 2 weeks is required, fees remaining after this will be refunded or credited onto your account.

Change of Class

Changes of class days/times throughout term is subject to a $5 administration fee.

Cancellation of Classes

On occasion classes may need to be cancelled by JGC, these instances include:

  • Heat Waves: When the inside of the gym reaches over 38 degrees following the sport safe guidelines the gym will need to be closed to ensure the safety of our gymnasts and staff.
  • Power Outages: If the gym loses power we will need to close due to safety issues
  • Natural Disasters: As Jimboomba is prone to flooding and severe storms we may on occasion have to close to ensure the safety of our members and staff travelling to and from the gym. Natural Disasters also include severe storms and severe weather warnings.
  •  

Health and safety of our members and staff are our top priotity. All classes that are cancelled will be offered make up lessons. Either within term or school holidays dependent on availabity.

Absences

Absences from classes are not eligible for refunds as the place of the gymnast is still held within the class, we do however offer make up sessions.  We encourage all members to record on the Iclass App prior to classes starting. Discount is not offered for those arriving late or leaving early as the class will remain scheduled as normal.

Make Ups

Make up classes are a complimentary service offered by Jimboomba Gymnastics Club. Gymnasts can only carry 2 make up credit on their account per term, any classes missed after this will not be subject to a make up credit.  Make ups will only be credited if family account balance is upto date with no outstanding fees and are subject to availability.

Exemptions can be made for illness and injury providing a medical certificate is produced to the office.

 Public Holidays

Jimboomba Gymnastics Club will close for the Queensland Public Holidays & Logan Ekka Public Holiday. These classes will not be charged.

Scheduled Closures

Jimboomba Gymnastics Club will notify members in advance of all scheduled closures including Christmas, Easter and Public Holidays. These closures will be adjusted within term fees in advance of term starting.
